Key Decisions & Votes

✔️ Nationals Venue & Date Tentatively Confirmed

  • Location: PNE Forum, Vancouver, BC

  • Date: September 18–21, 2025 (to be finalized after deposit payment)

  • Rationale: Lower cost compared to other venues, better access to accommodations, and a central location with a strong fitness community.

✔️ Committee Chairs Appointed

  • Technical Officials Committee: Raul (Lead)

  • Domestic Development Committee: Michelle (Chair)

  • National Championships Committee: Simon (Chair)

✔️ Formation of a Nominating Committee

  • Voted to create a Nominating Committee to streamline board appointments and committee formations.

  • Members: Simon, Michelle, and Shoko

✔️ Removal of an Inactive Board Member

  • Mary Lisage was officially removed from the board due to lack of participation.

✔️ Use of WhatsApp for Communication

  • The board voted to use a WhatsApp community for committee coordination and athlete engagement.

1. Board & Committee Structure

  • Board Membership & Quorum:

    • Discussed attendance challenges and the need for an engaged board.

    • Decision made to remove an unresponsive board member, Mary Lisage.

  • Nominating Committee Created:

    • Established to streamline board and committee appointments.

    • Members: Simon Damborg, Michelle Toole, Shoko Tiesma.

    • Committee will ensure a diverse skill set is represented across committees.

  • Committee Leadership Confirmed:

    • Technical Officials Committee: Led by Raul.

    • Domestic Development Committee: Led by Michelle.

    • National Championships Committee: Led by Simon.

2. National Championships Planning

  • Tentative Venue & Date:

    • PNE Forum, Vancouver, tentatively secured for September 19-21, 2025.

    • Venue offers affordable pricing (~$10,000), good location, and expansion options.

    • Deposit payment pending; financial planning underway.

  • Possible Eastern Canada Event:

    • Exploring an additional event in Ontario or Quebec to improve accessibility.

    • Would be hosted at a large gym to minimize venue costs.

    • Local interest and feasibility will be assessed.

  • Equipment & Logistics:

    • Contact made with Throwdown Series to rent the same rig & equipment used for World Masters.

    • Still awaiting final rental pricing confirmation.

3. Technical Officials Development

  • Committee Leadership:

    • Raul confirmed as the Technical Officials Committee Chair.

  • Certification & Training:

    • Focus on recruiting and certifying more technical officials.

    • Plan to host two in-person training sessions before Nationals.

    • Need for an improved testing system for officials.

  • Integration with International System:

    • Working with iF3 to align standards for judging and certification.

4. Domestic Development & Membership Growth

  • Committee Leadership:

    • Michelle Toole confirmed as Chair.

  • Membership Growth Strategies:

    • Focus on advertising, recruitment, and outreach.

    • Plan to increase engagement with athletes, clubs, and officials.

  • WhatsApp Community for Members:

    • New WhatsApp community launched to improve communication and recruitment.

    • Will be used for announcements, committee updates, and athlete engagement.

    • Public WhatsApp channel for registered athletes being explored.

5. Financial Planning & Grant Applications

  • Bank Account & Stripe Issues:

    • Access to the bank account still needs to be transferred.

    • Stripe now requires all board members to be confirmed, delaying access to funds.

  • Grant Writing Initiatives:

    • Exploring funding opportunities to support national championships and athlete development.

    • Legal review underway to ensure compliance with Canadian nonprofit regulations.

6. Athlete Engagement & Competition Pathways

  • Athlete Survey:

    • A survey will be sent to gather feedback on priorities, competition structure, and committee participation.

  • Functional Fitness League Playoffs:

    • Discussed the possibility of integrating playoffs with Nationals.

    • Would provide a structured path for athletes to progress through competitions.
